Exchange Shared Calendaring
The following instructions are meant for faculty and staff using Exchange that would like to set up shared calendaring on personal calendars. If your department would like to set up a group calendar contact the ITR office at 610-902-8366.
First you need to give users access to your calendar. Open Microsoft Outlook. Right click over top the calendar icon on the left hand side of the page. Select Properties.

When the next screen opens click on the Permissions tab. You are going to give users permission to access your calendar. Click on the Add button and select the users you want to have access to your calendar.

To add users just search for their name in the global address book. Double click on the user's name to add them to the right hand column. Once you see all the users you want to have access to your calendar in the right hand column you can click OK.

After you add users you'll see them all listed on the permissions tab. Leave the default user alone. Now you have to give each of your users a particular type of permission to access your calendar. By clicking on a person's name in your list and choosing from the Permission Level drop down box on the same page you can give your user's different types of permissions to access your calendar. For example, if you look below, next to the user's name, you'll see that he is set to Author.
There are three types we suggest you use when setting permissions on your calendar. Editor - Can create items on your calendar, read items, edit all items and delete all items including items you post. Author - Can create itmes, read items, edit only items they post, delete only items they post. Reviewer - Can only read items on your calendar.

Once you've added users and given them permissions you are all done. Now this is what the user on the other end has to do to gain access to your calendar. They need to open MS Outlook on their computer. They need to go to File, Open, Other User's Folder.

They should select your name from the list of users shown.

After they select your name from the list, they need to change the folder name from inbox to calendar by clicking on the drop down menu.

Click Ok and they will see your calendar on their screen and can begin working. You are finished the shared calendar process.
